Secretary of the Board – Overview of the Position
Position Overview
The Secretary is elected for a two year term based on the UUCC fiscal year that begins in July and ends in June of the next year. The main responsibility of Secretary of the Board is to record, electronically preserve, and disseminate the minutes of all Board meetings and congregational meetings.
Time Commitment
The Secretary will attend one or more retreats each year plus one Board meeting per month. Additional time outside the Board meetings will be required to complete, circulate, post and, if needed, correct minutes of the Board meetings. The Secretary is also expected to attend and take minutes at special meetings as needed and to communicate frequently via email.
Responsibilities and Duties
- Supports and promotes the mission of the Congregation
- Is a voting member of the Board of Trustees and a member of the Executive Committee
- Attends all Board Meetings
- Records and posts minutes of Board meetings in a timely manner, certifies them complete, summarizes them for inclusion in the Unigram by the Administrator and sends them to the web master for converting to PDF and posting on the UUCC website
- Prior to any Annual or Special Meeting, prepares an alphabetical list of the names of all voting members and posts the list prominently at the Congregation’s principal meeting place
- Provides notice of Annual and Special Meetings at least fifteen (15) days before the date of the meeting. Notice includes a listing of all items to be voted on.
- Reports waivers of the financial contribution requirement to the Treasurer as a matter of record
- Helps in the annual review and ongoing maintenance of the UUCC Policies and Procedures Manual and the Board Manual. Records additions, amendments, revisions and deletions and notifies committee chairs as needed.
- Notes the death of a Member, Inactive Member, Friend, or Youth Member in the official record
- Notes removal of a member from the membership register in accordance with the UUCC’s Safe Congregation Policies & Procedures
- Signs legal documents
- May perform other duties as described in the Bylaws
Qualifications
- Is a member in good standing of the Congregation
- Models behavior that supports the mission of the Congregation
- Has an active and sustained engagement in the life of the Congregation
- Has a working knowledge of the Bylaws and Policies of the Congregation
- Demonstrates knowledge of Unitarian Universalism
- Is computer literate and detail oriented
