The Unitarian Universalist Congregation of Columbia (UUCC) is looking to fill the position of Office Administrator to begin on January 2, 2023. Located in Columbia’s historic Shandon community, the UUCC is a progressive and inclusive religious congregation of about 139 members who affirm and promote a set of seven principles, including a free and responsible search for truth and meaning. We are an open and welcoming congregation.
We are seeking an energetic, dependable, and collaborative Office Administrator, who reports to the minister and supports our church’s mission and vision. This position focuses on keeping our church running smoothly, managing the use and needs of the building and grounds, encouraging and supporting our member volunteers, and producing weekly and monthly church communications.
Position Details:
- Work will be performed onsite. Daytime office coverage most days Monday-Friday, with specific scheduled hours to be coordinated with the minister.
- Position is part-time: 30 hours per week at a rate of $21 per hour.
- Eligible for UUA retirement plan for tax-deferred savings. UUCC contributes a percentage of employee’s wages and employee has the option to make added contributions on a pre-tax basis.
- Paid time off (See Personnel Committee Manual) to be coordinated with the minister.
- The Congregation grants Paid Time Off (PTO) to regular employees scheduled to work at least 10 hours per week at their regular rate of pay based on their length of service.
Statement of Accountability:
All UUCC employees are ultimately responsible to the Board of Trustees and serve at the will of the Board of Trustees, with ongoing supervision and annual evaluation provided by the Minister or designee with input from the Board members and Committee Chairs. This position is supervised by the Minister. If the Minister is unable to provide supervision and/or evaluation, another supervisor shall be appointed by the Board of Trustees.
General Administration:
Office Administrator is responsible for a broad variety of administrative tasks with minimal guidance. Manages office procedures, facilities, schedules, and purchasing. Knowledgeable with major office-related computer applications including database management. Supervise other staff. Send mass emails of announcements and reminders when requested by the Minister, Board, or congregational leadership. Submits monthly report of membership totals and Sunday Service attendance to the Board of Trustees. Maintains current yearly Confidentiality Agreements and Conflict of Interest Agreements from Board, Staff and Committee Chairs. Provides appropriate reports, lists, or other information as requested by the minister, Board, and leadership.
Finance:
Membership, Treasurer, and other Chairs, etc. to complete and submit the UUA Annual Certification due at the end of January. Prepares Annual Pledge Cards via Excel and Word mail merge. Coordinates mailing of Annual Pledge Cards and cover letter.
Worship:
Produces weekly order of service and announcements.
Membership:
Maintains database of members and friends in the ACS Technology system with input from Membership Committee. Works closely with bookkeeper regarding member information.
Communications:
Collects, writes, and edits articles and announcements for the weekly eblast, Sunday Orders of Service and monthly Unigram. Emails and mails Unigram to members and visitors.
Building Maintenance and Usage:
Works closely and communicates frequently with Sexton regarding building and grounds issues as well as set up needs for UUCC functions and outside rentals. Maintains calendar of events to ensure there are no conflicts in activities and building usage.
Personnel:
Maintain Employee Files. Assist Personnel Committee in the preparation of Letters of Agreement and Addendums. Keep electronic and hard copies of all LOAs and Addendums. Work closely with Bookkeeper to keep payroll information up-to-date.
Minimum Qualifications:
- Minimum of two-year technical college and/or equivalent trainings/ certifications
- Strong verbal and written communication skills
- Experienced with MS Office Suite including: Word, Excel & Publisher
- 2-5 years’ experience in organizational administration preferred
- Satisfactory criminal background checks and reference checks
- Proof of Covid-19 Vaccinations
